Meeting confirmation emails: dates, locations, and joining details

Confirm an online meeting, in-person appointment, or group event with clear examples and a checklist of the details attendees need.

Once a time is agreed, send a confirmation that includes the final date and the information people need to attend. “That works for us” leaves too much to search for in earlier messages.

The most popular option in a response table is not automatically confirmed. Check required attendees, tentative responses, and any room or venue booking first.

What should a confirmation include?

Include the meeting purpose, start and end time, time zone, format, joining instructions, preparation, and a contact method for problems on the day.

For an online meeting, give the actual joining link. For an in-person meeting, include the address and reception instructions. If a detail is not ready, say when you will provide it rather than presenting a placeholder as a working link.

Example: an online meeting

If the joining link will be sent separately, give a realistic time: “I will send the meeting link by the day before.” Do not leave attendees wondering whether the scheduling link is the right place to join.

Example: an in-person appointment

We look forward to meeting you.

Date and time: [Date, start/end time, time zone]
Location: [Building and room]

Only state that a room is booked or an entry process is available after checking. A proposed venue is not the same as a confirmed reservation.

Example: a group dinner or social event

Thanks for completing the scheduling poll!
Our get-together is confirmed:

Check prices, booking terms, and the headcount before sending this. Do not include someone marked tentative in a reservation without checking with them. See the group dinner scheduling guide for the earlier steps.

The response link is not the meeting link

Kantankoho's participant URL opens a scheduling response page. It is not a video meeting room. Label the two links clearly when both appear in a message.

Choosing a date also does not mean it has been automatically added to every participant's calendar. If your group uses calendar invitations, send one separately through your usual calendar service and check the details.

Final checks and later changes

Before sending, compare the date and weekday, end time, time zone, joining details, and recipients. Show one confirmed slot instead of leaving several options in the message.

If something changes afterward, send an explicit rescheduling message. Silently changing a shared page does not ensure that everyone learns about the update.

If key responses are still missing, start with a scheduling reminder rather than announcing a final time.
